Logistics and transit assistant: how to showcase your file-tracking experience?

A shipment may involve a supplier, carrier, warehouse, sales team and transit specialists. In an application, “file tracking” is too vague. Show which information you check, how you follow up and when you alert your supervisor.
An internship, association assignment or initial administrative role in Cameroon can provide useful examples. The scenarios below are fictional and should be adapted to your actual experience.
Define your responsibilities precisely
Identify the flow you supported: local procurement, delivery, shipping or import-export paperwork. Explain your role and the approvals required. Filing documents for a transit operation does not mean you personally completed a customs declaration.
CV example: “Supported shipment tracking by updating statuses, collecting supporting documents and flagging missing information to the logistics supervisor.”
Use your actual actions. List software only when you have used it, and distinguish observing a task from performing it under supervision.

Build a tracker that prompts action
A useful tracker connects a reference, verified status, information source and next action. An estimated date is not confirmation of delivery.
| Fictional file | Verified information | Next action |
|---|---|---|
| L-101 | Carrier confirmed collection | Request an updated arrival estimate |
| L-102 | Document received; reference needs checking | Compare with the order and request confirmation |
| L-103 | Delivery reported; receipt unconfirmed | Contact the recipient through an approved channel |
Add the update date and action owner. Retain the response supporting each status change.
Demonstrate effective follow-up
“Hello, for fictional file L-102, we received this morning’s document. Its reference differs from the order reference. Could you confirm the correct reference or provide a corrected version? The supervisor needs this check before the next step. Thank you.”
Explain the need without blaming people. Do not alter a third party’s document yourself or promise a deadline outside your control.
Describe an observable result
Examples include an updated register, completed supporting file or discrepancy flagged before submission. If you quote a file volume, explain the period, what “tracked” means and your contribution. A documented file is not necessarily a completed operation.
Interview example: “My role was to reconcile information, maintain the tracker and prepare follow-ups. When sources conflicted, I flagged both versions to my supervisor before changing the status.”
Prepare evidence without disclosing data
Create a tracker containing three fictional files and one sample follow-up. Exclude customer contact details, negotiated rates and former employers’ documents. Explain your method and responsibility limits. Your application should show that someone can quickly understand each file’s position and outstanding actions.
