CMMS: which skills should you demonstrate in your application?

A computerised maintenance management system, or CMMS, helps organise maintenance information and work tracking. “CMMS proficiency” alone is vague: identify operations you can actually perform.

IBM’s CMMS guide explains these systems. Features, fields and permissions differ by solution and organisation.

Describe your usage level

Distinguish viewing history, entering requests, updating work orders, preparing schedules and system administration. Using one screen does not establish configuration expertise.

“Reviewed equipment histories and entered supervised reports; the supervisor approved closure.”

Name solutions actually used and label demonstrations or training.

Create a fictional record

FieldPractice example
EquipmentFictional M-014
ReportIntermittent stoppage reported
StatusAwaiting supervisor analysis
Next actionComplete context and prepare review

Add dates, tracking owner and useful observations. Creating a request does not mean equipment is repaired. Closure must follow organisational criteria and approvals.

Demonstrate data quality

Check equipment identity before entry. Separate symptom, action and outcome. Use verified time and parts data with units; do not invent values for unknown fields.

Retain history under correction rules and do not use colleagues’ credentials for broader permissions.

Explain indicators carefully

Show open work at a specified date or pending actions within a defined scope. Distinguish requests, work orders and interventions using employer terminology. Undefined numbers can mislead.

Demonstrate understanding without software access

A fictional spreadsheet can show equipment, request, status, owner and next action. Label it as practice, not experience using software you never operated.

Explain how a colleague would retrieve the record and outstanding approvals. Reliable usable information matters more than typing speed.
