Excel and inventory software: which skills should you highlight in your application?

“Proficient in inventory software” does not tell a recruiter what you can do. Specify tasks, supervision and checks. A simple exercise you can explain is stronger than a long tool list.

Describe actual practice

For Excel, identify data entry, filters, formulas or summaries you have used. For inventory software, explain whether you recorded receipts, prepared issues, checked locations or supported counts.

Distinguish demonstrations, training exercises and professional use. Viewing records does not establish configuration or adjustment-approval skills.

Prepare a movement exercise

Fictional example: one item per row, all quantities in individual units. Use row 1 for headings: A reference, B opening stock, C receipts, D issues, E calculated closing stock. Enter data in rows 2 to 4.

Enter =B2+C2-D2 in E2 and copy down to E4. This assumes every movement in the period is included and approved. It does not calculate reservations or quality statuses.

Explain limitations and checks

Calculated stock is not a physical count. Do not arbitrarily replace missing data with zero. Check units, duplicates and supporting records. A dated transaction log provides traceability in a detailed real-world system.

Test a row with no receipts and one with several movements. Sort all columns together and keep a copy of your exercise. Do not use a real warehouse file as a portfolio.

Demonstrate system understanding

Distinguish viewing quantities, entering transactions and approving them. Respect account permissions and correction trails; do not share credentials to accelerate processing.

State your level accurately

“Excel: movement tables, filters and balance calculations using checked data. Inventory software: supervised record consultation and data entry.”

Adapt this to your experience and name software only when you know it. Repeat an operation in an interview and explain how you detect errors so the employer can assess practical ability.
