CRM and request tracking: which examples should you show a recruiter?

A CRM or request tracker helps teams retrieve communication history and next actions. Show how you organise information rather than merely naming software.

Fields and statuses vary by organisation. These fictional examples do not reproduce a particular interface.

Build useful records

A reference, clear reason, latest contact, owner and next action explain a file. Limit personal data to what is necessary and respect access rules.

Fictional referenceStatusNext action
C-01Information missingRequest reference through approved channel
C-02Internal reviewFollow up with assigned team
C-03Solution applied; awaiting feedbackConfirm next step under closure criteria

C-03 is not automatically closed because a reply was sent. Distinguish completed actions from confirmed resolution.

Write factual notes

“Customer reports not receiving the announced update. History checked: internal review ongoing. Follow-up owner identified; next update tomorrow at 10 am.”

Avoid labels such as difficult customer. Separate statements, verified facts and assumptions. Do not add unnecessary sensitive documents.

Demonstrate handovers

Explain the request, checks completed and outstanding decisions. Look for existing cases before creating new ones. Do not merge or delete records without approval or procedure.

Apply organisational priority criteria rather than prioritising whoever sends the most messages.

Describe proficiency accurately

“Used a tracking tool to review history, qualify requests and record next actions under supervision.”

Name software only if used. Distinguish viewing, data entry, reporting and administration. Without CRM experience, identify a fictional spreadsheet as an organisation exercise, not software work experience.

Prepare an interview exercise

Create three records without real identities, add a note and demonstrate handover. Explain how a colleague could continue without asking the customer to repeat everything. Clear next actions and traceability matter more than filling many fields.
