Virtual assistant: how to set fees and define service boundaries

Setting a fee starts with understanding the assignment. A price can cover time, a deliverable or recurring volume, provided both parties understand what is included.
1. Estimate the full scope
Include preparation, execution, communication, checks and agreed revisions. Identify necessary costs such as connectivity, tools and payment-receipt fees. Not every available working hour will be billable.
2. Choose a clear pricing unit
| Method | What to define |
|---|---|
| Hourly | Time tracking, cap and approval for extra hours. |
| Per deliverable | Expected content, supplied inputs and included revisions. |
| Recurring package | Volume, period, availability and additional work. |
3. Test the calculation
Entirely fictional exercise, not a market rate: an assignment takes an estimated six hours at an assumed 4,000 FCFA per hour. That represents 24,000 FCFA. If two additional revision hours are requested, their treatment needs agreement rather than being assumed included.
This is neither a recommended fee nor guaranteed income. Adapt your proposal to tasks, independence, costs and negotiation. State how applicable fees and charges are handled.
4. Write the boundaries
Define deliverables, deadlines, revision rounds, hours and exclusions. For example: drafting emails included; commercial commitments and payments excluded. New task categories require a revised agreement.
5. Agree payment and changes
Specify amount, currency, schedule, any advance, transfer fees and acceptance process. Confirm scope and price changes before continuing. A clear proposal supports a more useful discussion than a price alone.
