Accounting assistant: how to demonstrate care when tracking supporting documents

A correctly filed invoice, a retrieved receipt and a promptly reported discrepancy demonstrate an essential accounting skill: care. Explain a repeatable method in your application instead of simply writing “well organised”.
1. Explain a document’s journey
Describe the steps you actually know: receipt, identification, checking, filing, submission for approval and follow-up. State the department’s instructions and your role. Preparing an invoice for entry does not mean authorising payment.
A basic tracker can include receipt date, reference, counterparty, period, amount, related evidence, status and next action. Restrict access to authorised colleagues and use approved storage locations.
2. Describe the checks
- Check legibility and required information.
- Compare references and amounts with the available records.
- Look for possible duplicates before submission.
- Record missing items without altering the original document.
The exact checks depend on the transaction and procedures. An unusual document requires investigation; it is not automatically fraudulent.
3. Show a fictional discrepancy tracker
| Fictional reference | Finding | Proposed action | Status |
|---|---|---|---|
| F-014 | Payment evidence missing | Request it from the authorised contact | Pending |
| F-015 | Reference received twice | Check whether the records are duplicates before entry | To check |
| F-016 | Amount differs from the related record | Refer the discrepancy to the supervisor | Submitted |
This is a practice example, not evidence of problems at an employer. Explain how you preserve a history and who decides what happens next. Do not delete a row just because it makes reconciliation harder.
4. Explain a cash discrepancy
Fictional exercise: expected cash is XAF 85,000, while the count is XAF 83,000. The difference is XAF 2,000. Recount according to procedure, check supporting documents and pending transactions, then report the difference. Do not invent a receipt or blame someone without verification.
Your skill lies in the checks and factual reporting, even when you are not authorised to amend the record.
5. Turn the method into an application example
Adapt to your actual experience: “Tracked received documents, checked references and prepared a missing-document list under the accountant’s supervision. Reported differences while retaining a record of checks.”
For practice, create five entirely fictional documents and a tracker. Present them logically and explain the exercise’s limits. Never share a former employer’s actual files as evidence of your reliability.
